Role Overview
Reporting to the Engineering Manager, this role is the next evolution of document control at Clarke Energy, moving from transactional processing to structured information leadership. You’ll manage and support the existing Document Controller while taking ownership of developing, refining, and enforcing document management frameworks across engineering deliverables, tenders, technical documents, O&M material, and project lifecycle documentation.
You’ll oversee how documents move through clients, suppliers, engineering teams, and external stakeholders whilst ensuring accuracy, traceability, and timely turnaround.
You’ll also act as the central point for reporting workflow status, identifying bottlenecks, and making sure no deliverable falls through the cracks. The role will work closely with engineers and project stakeholders, using systems such as Aconex, Team Binder, RedEye and MS Access/Excel-based registers.

You’re confident with structure, you communicate clearly, and you don’t shy away from chasing overdue documentation or guiding others to follow process – even when working with engineers, suppliers or clients with different levels of experience in document governance.

Key Responsibilities
- Lead the document control function to support engineering and EPC project delivery.
- Manage and mentor existing document control resource/s to build capability and consistency.
- Review, improve, and implement document control frameworks, processes and procedures.
- Ensure incoming and outgoing controlled documents comply with metadata, format, versioning, and submission standards.
- Track and report document status across internal and external stakeholders.
- Oversee technical document workflows using Aconex, Team Binder, RedEye, and internal registers.
- Produce weekly/monthly reports for Engineering and Project leadership teams.
- Support development and maintenance of templates, registers, and document tracking systems.
- Liaise with clients, suppliers, and subcontractors to ensure documentation accuracy and compliance.
- Drive continuous improvement in document management aligned with Clarke Energy’s growth strategy.
Skills, Knowledge and Experience
- Proven experience in document control within construction, engineering, utilities or similar environment.
- Strong working knowledge of Aconex (essential), TeamBinder and/or RedEye (advantageous).
- Strong skills in Microsoft Excel and ability to interrogate data for reporting.
- Experience reviewing and improving document workflows and governance frameworks.
- Ability to work confidently with a diverse range of stakeholders.
- Experience with Adobe tools including ability to edit, stamp, redact and format technical documents.
- Strong communication skills – both formal (client-facing) and informal (internal collaboration).
- Proven ability to prioritise, follow up, and maintain documentation integrity under deadline pressure.
